Changing Preferences for your Web Calendar

To share your calendar with students and/or colleagues, set up your calendar to allow others to submit events, or change other calendar preferences you need to access the Calendar Configuration window for your calendar. Do this by clicking Options > Calendar Configuration from the menu at the top of the screen.

Access Tab

Use the settings here to share access with students, department members, or other individuals who also have a Web Calendar. Please see the tutorial on sharing your calendar for more details.

When you have finished making changes to options listed here, you can select another tab to make further changes or click Change Calendar Configuration to save the changes.

Preferences Tab

Click the Preferences tab to change the calendar name, set special text to display at the top or bottom of your calendar page, set up an email address for publicly submitted events, embed other calendars or include default text for new entries.

If you have set your calendar preferences to allow event submission (see Settings tab) and would like to get an email whenever an event is submitted to your calendar, you should enter your email address in the Approval Email address box and check the box next to Email Public Submissions to Approval Address.

You can choose to embed any calendar to which you have read access in your own calendar. Events in an embedded calendar will then display in your calendar view, though you will not be able to edit or delete any of those events unless you also have write access to the embedded calendar. Use the Embedded Calendars box to select a calendar or calendars for embedding. Hint: use the Ctrl key (Windows) or Command key (Mac) to select multiple calendars. You can also remove an embedded calendar by deselecting it here.

Settings Tab

Click the Settings tab to control the behavior of the calendar when two events occur at the same time, to allow event submissions from other users, and to change settings controlling the appearance of your calendar.

All calendars are created with Prevent Double-booking Events checked by default. This causes an error message if you attempt to enter two events with times that overlap or conflict. You can uncheck this box to allow event entries without regard to potential time conflicts.

If you would like to allow those with read access to your calendar to submit events to your calendar, check the box next to Allow Event Submissions. You may also want to set your calendar preferences so that you receive email notification of event submissions (see above).
